Why is MOREnet sunsetting the email suite of services, effective 10/1/2018?
As we reviewed the current email services market, there are a number of quality and feature-rich, low or no-cost email solutions available for schools, libraries and public sector organizations. Therefore, we concluded that MOREnet can no longer provide a higher value solution than other free or reduced cost services. After more than 17 years hosting email for our members, we are now setting an end of service date for our email services suite.

Our organization receives one or more email services from MOREnet, so what does this change mean for us?
Effective Oct. 1, 2018, MOREnet will no longer provide hosted email, email virus and spam filtering and email archiving services for our members. Please note that we’re providing a full 12 months of lead time to allow you the opportunity to review other options, make an informed decision and transition to a new email service when it works best for your organization.

What other email service options are available for my organization?
There are many options available for email service. Both Google and Microsoft have packages for K-12. Google for Education (https://edu.google.com) has a free bundle of productivity tools for classroom collaboration called G-Suite, which includes Google Email (Gmail). Microsoft Office 365 for Education (https://products.office.com/en-us/academic/compare-office-365-education-plans) offers a similar set of tools and applications at no cost to K-12 institutions. Google and Microsoft also offer low-cost productivity suites that include email for organizations that do not qualify for their free education programs.

Other low cost or free services are available for smaller organizations. One such option is Zoho. They have a free plan for up to 25 users and single domain hosting. https://www.zoho.com/workplace/pricing.html?src=zmail

Can I keep my domain?
Yes! Your new email service provider will detail the information needed to change the appropriate Domain Name Service (DNS) entries so that you do not need to change your domain. Our Technical Support team is available to assist you with your transition, once you have all of the information from your new email provider. You do not need to change DNS providers, but will need to update the appropriate DNS records.

Do I have to move to a new email service immediately?
When you move to a new email service is completely your decision, as long as it is prior to Oct. 1, 2018. MOREnet’s email services will remain in service and supported until October 1, 2018.

If I don’t transition before July 1, will I be billed for FY19?
We understand that many of you will probably choose to transition before or during the summer of 2018. However, in order to give you flexibility and peace of mind, we are allowing you a full 12 months to transition by October 1, 2018. For fiscal year 2019, specifically July 1 to October 1, 2018, since we are discontinuing these services, MOREnet will not invoice you for the email service(s). Our goal is to allow you great flexibility and support your transition when you are ready.

How do I transition my organization’s email service?
Before the transition, you will need to identify and initiate service with your new email provider. Once this has been completed, set up all the email addresses and aliases that you require in the new system. When all the individual email addresses and aliases have been established in the new system, you’re then ready to transition your service from MOREnet to your new provider by updating the appropriate DNS records.

We assume you will choose to keep your current domain name. After updating DNS, it will take a short time before all email servers on the Internet will know to send your email to your new email hosting provider. Normally, this time is short (a couple hours), but occasionally can take several days. During this time period, email may end up on either email service (MOREnet-hosted email or your new email service).

During transition, you and your users will still be able to access your MOREnet-hosted email. These emails can be either downloaded or transferred to the new email service. Once the transition is complete, we will confirm that you have what you need and then the MOREnet-hosted email accounts will be removed and forwarding to the new provider will be enabled for a minimum of 45 days. Once removed, direct access to MOREnet-hosted email accounts will no longer be accessible by you or your users.

How long will the transition actually take?
A majority of the transition time will depend on the time it takes you to select a new email service provider and set up all your email accounts and aliases in your new email hosting service. Once this is completed, the actual transition can take place fairly quickly, usually within a couple hours.

Will there be downtime during the transition?
No, your existing email addresses will work continuously. All email will either be delivered to MOREnet (before and during the transition) or to your new provider (after the transition takes effect).

How do I migrate my contacts and calendar items?
Your new email provider will give you instructions on how to migrate your contacts, address books, and calendar items.

When will I lose access to my MOREnet hosted email?
All access to MOREnet-hosted email will end on October 1, 2018. Prior to that, access will end after your organization has completed transitioning to your new email service. We are available to help you before this date to allow sufficient time to migrate accounts and emails to your new email service.

What will happen if someone emails a MOREnet-hosted email account once it’s removed?
Within hours of the transition, most email servers will be aware of the new provider and send email to the new provider. For some email servers, this process may take longer (in some rare cases, up to 41 days). MOREnet will immediately forward any emails received after the transition to the new email provider and will continue to do so for at least 45 days after the transition occurs.

Will my MOREnet Email Archiving still work?
Because archiving it is part of our email suite of services, the MOREnet Email Archiving service will be discontinued along with our hosted email service, as of Oct 1, 2018. All of the emails processed up until the completion of your service transition will be archived in accordance with MOREnet’s email archiving policy. Once your transition is complete, MOREnet will no longer be able to archive your email, and that service will stop. Upon completion of your organization’s transition to a new email service provider, you will have two weeks to optionally download your email archive from MOREnet, after which time it will be deleted. If you establish service with another email archiving service, they can assist you with importing your archive data, if you’ve retrieved it from MOREnet.

Will my Gaggle Premium Email Archiving still work?
Yes! Members who are utilizing Gaggle’s premium email archiving product should notify Gaggle of their new email service provider and Gaggle will continue to provide service to you as they do today.

Can I select a different email archiving solution?
Yes! You can select any email archiving solution you wish to use. MOREnet has consortium discounts available from Gaggle. Pricing is available on MyMOREnet.

Can I continue with MOREnet’s Email Virus and Spam Filtering service?
Email Virus and Spam Filtering is part of our email suite of services and will be discontinued along with our hosted email and email archiving services on Oct. 1, 2018. Most email service providers (including Google and Microsoft) include this service as a no-charge add-on. Please be sure to ask your new email provider what features are included with their email service.
